The access model, and where it runs out
VitusVet-style apps give owners a window into records that live in a participating clinic's system, plus conveniences like refill requests and reminders — at no cost, because practices sponsor the connection. That model is excellent right up to its edges, and the edges are what send people to this page: a clinic that doesn't participate, a practice that changed management systems, a history scattered across an emergency hospital and two previous cities, or simply the realization that access is not possession. A window can close. Your copy can't.
Rebuild the master record you should have had all along
This is the durable fix, and it takes one focused hour:
- List every provider your pet has seen — regular clinics, emergency hospitals, specialists, the shelter or breeder.
- Request the complete file from each: doctor's notes, lab results, imaging, vaccine certificates. Email requests work; clinics do this routinely. (Lost track of an old provider? Our lost-records guide covers the recovery paths.)
- Pick one home for everything — the rule that makes the rest work. One pet, one container, from now on.
- File forward: every future visit's paperwork goes into your system the same day, whatever app the clinic happens to use.
The principles behind step 3 are covered in how to organize pet medical records — one container per pet, dates on everything, proof findable in a minute.
Choosing the container
Pawmi is built for exactly the stack of paperwork step 2 produces: upload the PDFs, photos, and bills, and the AI extracts vaccine dates, medications, and costs, files each document under the right pet, and turns the follow-ups into reminders. Free for one pet, Pro at $3.99/month or $30/year for three. Its limits, stated plainly: it won't message your clinic or book appointments, and there's no native iOS app yet (the web app covers iPhones).
Manual trackers like 11pets and PetNoter hold the same information if you prefer typing it yourself and will keep typing it — depth in exchange for discipline. The spreadsheet remains the zero-cost, zero-lock-in answer; we made a free 7-tab template and an honest accounting of its gaps. And all of these coexist happily with whatever clinic app your practice offers — access layer plus ownership layer is the resilient setup, not either/or. The full comparison puts every option in one table.
